Mail List Preparation
Typically, our mail list preparation projects consist of multiple input files (of various formats and structures), which we convert to our client's standard format. The files are then put through a series of standardization and cleansing process, which includes validating postal information (CASS Certification), parsing names, moving displaced data to the correct fields, removing junk data, genderizing the records, flagging unmailable records, Nth select data etc.
The output is a mail list which is standardized to USPS requirements, and with duplicates removed.

File Conversion
We work with various types of files such as delimiter, fixed width, excel, access, dbf. We convert files into the format and layout clients need.
In conversion, we ensure
- No truncation of data elements.
- Field name are mapped accurately.
- No displaced data due to "dirty characters"
- Check for maximum length of each field to find any abnormalies.

Data Standardization
Following are some of the data standardization processes at DataPlus:
- Format data to upper case, the preferred USPS format.
- Parse name or reversed names into prefix, first, middle, last, suffix components. Fix any displaced name components.
- Parse addresses into their data element. For eg, CSZ into City, State, Zip.
- CASS certified the list.
- Gender-code the file.
- Flag unmailable records according to project specifications.
- Flag foreign records.

Custom Editing
- Right field displaced data. For example, move company found in ADDRESS to COMPANY field; or names found in ADDRESS to NAME field.
- Remove junk or unwanted characters or words, eg “N/A”, “NOT SUPPLIED”, UNKNOWN”, “FGFGFGFG”, etc.
- Nth Select mail list.
- Others custom edit as instructed or as needed.

NCOA Processing Acknowledgement Form must be previously received and approved prior to processing.
